Duties of Office

Duties and Responsibility of the Board of Directors

The Board of Directors shall conduct at least four quarterly meetings per year. The President shall present and review proposed plans and policies of the Club at the first meeting of the calendar year. The President may call additional meetings to carry out the policies and special functions of the Club. Six members of the Board of Directors in attendance shall constitute the quorum necessary to transact any Club business.

President

  • Presides at all Club meetings, including the Board of Directors meetings
  • Serves as the non-voting Chairman of the Board

Immediate Past President

  • Member of the Board of Directors
  • Reviews the current By-Laws for amendments

Directors

  • Sets policies and guidelines for the Club
  • Oversees the actions of the Officers
  • Attends meetings

Duties and Responsibility of the Club Officers

President

  • Presides at all Club meetings, including the Board of Directors meetings
  • Serves as the non-voting Chairman of the Board
  • Appoints all committees
  • Collaborates with the Vice President/Activities to assure that all committee work is accomplished
  • Represents the Club at all functions
  • Serves as the Club’s representative at the Association of Former Students fall and winter council meetings

Immediate Past President

  • Member of the Board of Directors
  • Reviews the current By-Laws for amendments
  • Chairs the By-Laws Committee
  • Presents proposed amendments to the By-Laws for adoption by the Board of Directors and ratification by members
  • Collaborates with the VP/Membership in publishing the Club’s Membership Directory
  • Serves on the Executive Committee

Vice President- School Relations

  • Works with area high schools in promoting Texas A&M University
  • Provides qualified students the opportunity examine what Texas A&M University has to offer
  • Serves as chairman of the Scholarship Committee
  • Assures that qualified scholarship recipients are selected before Muster on April 21

Vice President- Public Relations

  • Directs the Club’s publicity and press relations
  • Enhances the reputation and public image of both the Club and Texas A&M University
  • Coordinates with the Newsletter Editor in publishing the Salty Aggie Newsletter every other month
  • Directs the yearly sale of advertising space in the Salty Aggie Newsletter

Vice President- Records

  • Serves as the recording secretary
  • Records minutes at all Officers and Board of Directors meetings
  • Serves as the custodian of permanent records of the Club
  • Edits the Salty Aggie Newsletter

Vice President- Activities

  • Serves as President-Elect
  • Serves on the Executive Committee
  • Works with President to plan activities for the year
  • Coordinates programs for the regularly scheduled meetings
  • Serves as an official member of all commmittees
  • Reports to the President on the progress of the committees
  • Plans with other Club Officers the annual activities including the Annual Banquet, Muster, and the George Puls, Jr. Golf Tournament

Vice President- Membership

  • Coordinates with the Vice-President of Activities in planning activities to attract recent graduates and A&M alumni in the area to the Club
  • Broadens the base of interest in the Club and Texas A&M University
  • Increases the participation from alumni in the area

Vice President- Finance

  • Serves as Treasurer
  • Collects the dues and assets
  • Disburses funds as needed to operate the Club and as directed by Board of Directors
  • Distributes funds for special events, functions, and activities
  • Develops the Club’s annual budget for review and approval by the Board of Directors

Duties and Responsibility of the Committees

The President may appoint other standing committees as needed to operate the Club efficiently. Members of all committees shall be recruited by the chairperson coordinating the committee.

Executive Committee
The Executive Committee consists of the President, President-Elect, and Immediate Past President. The Executive Committee meets at any time, and guides the annual activities of the Club. In instances where a meeting of the Board of Directors is impractical, the Executive Committee may take action on its own. The Executive Committee is responsible for making a full report of such actions at the next regularly scheduled Board of Directors meeting. The Executive Committee may not spend funds in excess of $100.00 without Board approval.

Scholarship Committee
The Scholarship Committee is chaired by the Vice President/School Relations (Scholarships). This committee selects recipients and determines criteria of the Nueces County A&M Club Scholarships. The Chairman discloses the scholarship recipients to the President. The Scholarship Committee promotes the Club and Texas A&M University. This committee presents the Club’s Scholarship Program to area high schools.

Muster Committee
The Muster Committee plans and conducts the April 21 Muster Ceremony. The Vice President/Activities is the chairman of this committee.

Lifetime Member Committee
The Lifetime Member Committee is comprised of at least five individuals that have served as either the President or a member of the Board of Directors. Members of this committee are appointed by the President. This committee selects members who have demonstrated outstanding service to the Club, Texas A&M University, and the community.

Program Committee
The Program Committee is chaired by the Vice President/Activities. This committee organizes interesting and diverse programs. This committee plans the food and beverage menu for each function, activity, or meeting.

Membership Committee
The Membership Committee is chaired by the Vice President/Membership. This committee notifies members in December of following year’s dues. With approval from the Board of Directors, the Membership Committee may conduct an annual membership drive at the beginning of the year. The goal of this committee is to recruit active, participating paid members. The Membership Committee rewards and encourages participation and leadership in the Club. This committee prepares the Club’s Membership Directory with help from the Immediate Past President.

Bylaws Committee
The By-Laws Committee is chaired by the Immediate Past President. This committee reviews the By-Laws at least once a year. Recommended changes to the By-Laws are addressed to Board of Directors and approved by the Club members. The By-Laws aid the Officers and Board of Directors in running the Club efficiently. This committee provides copies of proposed changes to the Board of Directors at least 30 days before the meeting they will be discussed. By-Laws cannot be ratified without a quorum.

Aggie of the Year Committee
The Aggie of the Year Committee is chaired the previous year’s Aggie of the Year. This committee selects an individual who has demonstrated outstanding leadership, dedication, and involvement in the Club, Texas A&M University, and the community.
